Service Policy
This information is provided in order to help you better understand your pool service and clarify what you can expect as a customer of Tri Valley Pool & Spa and Cota Boys.
Service Calls:
The service technician will make one scheduled visit per week. Extra service calls are subject to a pro-rated fee based on your monthly service rate. A service card will be left after any visit where minor parts are repaired or replaced due to wear and tear.
Rainy Days:
If your service day falls on a rainy day (actual heavy rain, not drizzle) your pool will be serviced the following week. If possible, depending on the severity of the rain, we will perform a chemical and basket service only.
Windy Days:
If your service day falls on a windy day, our procedures will be as follows: a quick skimming to clear large debris off the surface, all baskets and bags will emptied, chemicals will be checked and levels adjusted as needed. We will try to have your pools appearance back to normal the following week.
Holidays:
If your service day falls on a national holiday, your pool will be serviced the following week. If your service day falls on a holiday and you need your pool or spa serviced for a special event, please call at least one week in advance so arrangements can be made to clean your pool.
Vacation:
Each invoice is billed and based on a 4 week month. During each year however there are 4 months that contain 5 weeks. We do not bill for these extra weeks and use these weeks at various times throughout the year for educational seminars and vacation. Vacation weeks are always scheduled during the off season when the weather is cold and pools are not normally in use. We always close the weeks of Thanksgiving and Christmas. The remaining two weeks are typically scheduled in the spring before summer vacation begins. You will be notified in advance of these dates.
Monthly Service Fees and Additional Costs:
Invoices are generated and mailed on the first of the month, and due by the last day of the month. Your monthly fee is a base price. It only covers our time to clean your pool and spa; however we do include muriatic acid, soda ash, and DE as needed at no additional charge. Please be aware that there are additional services and supplies that may be needed at various times during the year. You will be billed for the items in addition to your base monthly service fee. Some examples are as follows:
Conditioner & Algaecide Flat rate billed monthly in 12 equal installments. Chemicals added as needed throughout the year
Salt As needed if your pool is equipped with a salt chlorine generator
Filter Cleaning 2 to 4 times a year depending on the size and use of your pool
Chlorine Tablets As needed unless your pool has a salt chlorine generator
Repairs:
Major repairs will be billed as needed and it is our policy to notify you in advance before work is done. On occasion, small repairs (such as broken pool vacuums, leaks, o-rings, hoses and seals) will be done immediately on-site and added to your monthly bill. If parts are replaced we will leave the old parts for your inspection. Please be aware that if a major repair is needed and you decide not to proceed, there may be an adverse effect on the condition and appearance of your pool or spa. We will not be able to spend excessive time working around the problem to maintain a normal appearance of your pool or spa.
Calcium Deposits:
It is normal for swimming pools and spas to develop calcium deposits around the water line, on steps, tile and natural stone. At your request, we can remove the deposits and re-polish your pool tiles, restoring their gloss finish. We'll be happy to provide you with an estimate for this service, as rates vary based on severity of the deposits and the type of hardscape materials that your pool is constructed with.
Annual Rate Increases:
Rates are increased once per year. These increases are necessary due to the ever increasing costs of insurance, chemicals, gasoline, and labor. The average annual rate increase is approximately $3 and will vary slightly with the size of your pool.
Client Responsibilities:
Clients are expected to make all payments in full, unless other arrangements are made prior to the end of the month. Balances that are past 60 days overdue are subject to late fees. Also, keep in mind that unless you have an auto-fill system installed and working, it is the homeowner’s responsibility to maintain proper water levels at all times. If you expect to be out of town for an extended period of time, please let us know so that arrangements can be made in advance.
We sincerely appreciate your business and hope that this will help clarify the specifics of your pool service. Please feel free to contact us anytime with your questions or comments.
